Planning map quick start guide

Planning your event map in Eventplot is designed to be fast, visual and flexible. Start with the basics of your site layout, then gradually build up your stages, vendors, paths and attendee experience — all in one connected system.

Remember as you are planning you are also creating the Event Public Map at the same time!

Define your site area

Add a Site Shape and draw the outline of your event area. Reduce the opacity to easily see the map underneath while planning.

Click "Add items"
Click "Site / Zone"

Draw around your site area - Complete the path or tap ESC to finish. You can always edit the shape again later.

Once you have create you main site shape you can adjust the opacity, colour and lock it. It's a good idea to set this zone with a low opacity so you can see the map below to help planning. When finished you can set it back to 100%.

Add plots

To actually add any vendors to the map we need to add their plots first. These are essentially the spaces where you will be adding vendors. You can also later easily move vendors around to different plots.

Click "Add Items" and then "Plot".

This will add a vacant plot to the map that you can colour, number and assign a vendor. Position the plot by dragging it around and Ctrl + drag to rotate it. You can adjust the dimensions in the right hand sidebar.

Now select a Vendor from the Vendor list in the sidebar.

Now you have a vendor added! You can also pick up that vendor and drop it onto any other plot (if the other plot is occupied you will get the option to swap vendors).

You can change the vendor 3D model style in the vendor settings, adjust its size and colour. You can also adjust the map labels.

Add stages

Position your stages on the map ready for schedules, performers and live event information. You can then assign the stage model to a Stage you have in eventplot.

Click "Add Items" then select the type of stage you want. You can adjust the dimensions, colour etc. of all stages. You can also link crowds to stages! If your Stage has a Schedule its label, and lights will adapt in real-time during the event so your attendees can see whats on.

Planning only items

It's likely you will need to add things to the map that are just for site admin - backstage areas, staff areas, security, map labels and so on.

Click on "Ops layer" and add items.

Paths

Help visualise attendee flow and movement around the site.

Click "Add Items" then select "Path".

Draw the path point by pint, tap ESC when done to finish. You can always adjust the path afterwards or add more points.

Trees and decorations

Bring the map to life with landscaping, lighting and decorative elements.

You can add and position individual trees and adjust their size and colour or even draw a whole area which will be filled with trees.

Click "Add Items" and then select an individual tree or "Trees".
You can draw the tree area in the same was as site shapes.
